1. Introduction and Scope
This Privacy Policy (“Policy”) explains how The Remnant Bible Academy (“RBA,” “the Academy,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects information gathered through our website, online learning platform, and affiliated digital community, the Berean Fellowship Community (collectively, the “Services”).
This Policy applies to all visitors, prospective students, enrolled students, instructors, moderators, ministry partners, and any other individual who accesses or uses the Services (collectively, “Users,” “you,” or “your”). By accessing or using the Services, you acknowledge that you have read, understood, and agree to the practices described in this Policy. If you do not agree with this Policy, you must discontinue use of the Services immediately.
This Policy should be read together with our Terms of Service, Statement of Faith, and any applicable enrollment agreements, course policies, or community guidelines published on the Services, all of which are incorporated herein by reference.
2. Age Requirement: Minimum Age of 18
The Remnant Bible Academy is intended solely for individuals who are eighteen (18) years of age or older. No part of the Services is directed to, designed for, or intended to be used by individuals under the age of 18, and RBA does not knowingly collect, solicit, or maintain personal information from any individual under the age of 18.
By accessing, browsing, registering for, or otherwise using the Services, you represent and warrant that you are at least 18 years of age. If we become aware, through any means, that we have inadvertently collected personal information from an individual under the age of 18, we will take prompt steps to delete such information from our systems and, where applicable, terminate any associated account.
If you are a parent, guardian, or other individual who becomes aware that a minor has provided personal information to RBA in violation of this Policy, please contact us immediately using the information provided in Section 17 (“Contact Us”) so that we may investigate and take appropriate action, consistent with the Children’s Online Privacy Protection Act (COPPA) and other applicable law.
3. Information We Collect
We collect information in three general categories: information you provide directly to us, information collected automatically through your use of the Services, and information we receive from third-party service providers and platforms integrated into the Services.
3.1 Information You Provide Directly
When you interact with the Services, we may collect the following categories of information directly from you:
- Identity and contact information, such as your full name, email address, mailing address, and telephone number.
- Account credentials, such as your username and password.
- Enrollment and academic information, such as course selections, enrollment history, academic progress, assignment submissions, discussion posts, and completion records.
- Community profile information, such as a biography, profile photograph, denominational background, ministry role, and any other information you voluntarily choose to include on your Berean Fellowship Community profile.
- Correspondence, including messages, prayer requests, testimonies, feedback, and any other content you submit through contact forms, community spaces, comments, or direct messages.
- Financial and payment information submitted in connection with course fees, donations, or ministry partnership contributions, as further described in Section 7.
- Survey and form responses submitted through course intake forms, feedback forms, or other data-collection forms hosted on the Services.
3.2 Information Collected Automatically
When you access or use the Services, certain information is collected automatically through cookies, log files, pixels, and similar technologies, including:
- Device and connection information, such as IP address, browser type and version, operating system, device identifiers, and general geographic location derived from IP address.
- Usage data, such as pages visited, links clicked, time spent on pages, course modules accessed, referring and exit pages, and interaction patterns within the Berean Fellowship Community.
- Log data generated by our hosting infrastructure and content delivery network for security monitoring, error diagnosis, and performance optimization.
3.3 Information from Third-Party Services
Because the Services are built using a combination of integrated third-party platforms, we may also receive information about you from those platforms in connection with your use of the Services. These platforms are described more fully in Section 6 and include, without limitation, our community platform provider, our customer relationship management and email marketing platform, our forms and survey platform, our payment processors, and our email delivery infrastructure.
4. How We Use Your Information
We use the information we collect for the following purposes:
- To create, administer, and maintain your account and student enrollment.
- To deliver course content, track academic progress, and issue completion records or certificates where applicable.
- To operate and moderate the Berean Fellowship Community, including facilitating discussion, community spaces, and the leaderboard and badge recognition system.
- To communicate with you regarding your enrollment, course updates, community announcements, prayer rally and Bible study scheduling, and administrative matters.
- To process payments for course fees and to process voluntary ministry partnership contributions.
- To send email communications, including transactional messages, newsletters, and ministry updates, consistent with your communication preferences and applicable law.
- To maintain the security, integrity, and proper functioning of the Services, including detecting and preventing fraud, abuse, and unauthorized access.
- To analyze usage trends and improve course content, community engagement, and overall user experience.
- To comply with applicable legal obligations, enforce our Terms of Service, and protect the rights, property, and safety of RBA, its Users, and the public.
5. Cookies and Tracking Technologies
The Services use cookies and similar tracking technologies to operate core functionality, remember your preferences, maintain your login session, and understand how the Services are used.
5.1 Categories of Cookies
- Strictly Necessary Cookies — required for core site functionality, such as maintaining a logged-in session and enabling secure checkout.
- Functional Cookies — remember preferences and settings to enhance your experience.
- Analytics Cookies — help us understand aggregate usage patterns so we can improve course delivery and the community experience.
5.2 Your Cookie Choices
Most web browsers allow you to control cookies through browser settings, including blocking or deleting cookies. Because Strictly Necessary Cookies are required for the Services to function, disabling them may prevent you from logging in or accessing course content. Where required by applicable law, we will present a cookie consent mechanism allowing you to accept or decline non-essential cookies prior to their use.
6. The Berean Fellowship Community and Third-Party Service Providers
RBA operates its Services using a stack of reputable third-party technology providers. Each provider processes certain categories of personal information on our behalf, solely for the purpose of operating the Services, and is contractually and/or technically restricted from using your information for its own independent marketing purposes. These providers include, without limitation:
- Community and Learning Platform Providers — to operate the Berean Fellowship Community, including discussion spaces, direct messaging, the leaderboard, and user badge system, and to deliver and track course content.
- Customer Relationship Management (CRM) and Email Marketing Platform — to manage contact records, segment communications, and deliver newsletters and ministry updates.
- Forms Platform — to collect information submitted through intake forms, contact forms, and surveys.
- Transactional Email Infrastructure — to deliver account, enrollment, and administrative emails reliably to your inbox.
- Website Hosting and Content Delivery — to host the Services and deliver website content, images, and files securely and efficiently.
- Security and Anti-Spam Services — to protect the Services and community discussions from spam, abuse, and malicious activity.
We select these providers with care and require that each maintain reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information they process. However, no online platform or third-party provider can guarantee absolute security, and your use of the Services is subject to the privacy policies of these underlying providers in addition to this Policy.
7. Payment and Financial Information
If you enroll in a paid course, or choose to make a voluntary financial contribution as a Ministry Partner, your payment is processed through a third-party payment processor. RBA does not directly collect, view, or store full credit card numbers, bank account numbers, or other sensitive payment card information; such information is transmitted directly to, and securely processed by, our payment processor in accordance with applicable payment card industry (PCI-DSS) security standards.
We retain records of transaction history (such as the amount, date, and purpose of a payment or contribution) for accounting, tax, and administrative purposes, consistent with applicable recordkeeping laws.
8. Email Communications
By providing your email address and enrolling in RBA or subscribing to communications, you consent to receive transactional emails (such as enrollment confirmations, course updates, and account notices) and, where you have opted in, promotional or ministry-related emails (such as newsletters, prayer rally reminders, and course announcements).
Every promotional email we send includes an unsubscribe mechanism. You may opt out of promotional communications at any time by following the unsubscribe link included in such emails or by contacting us directly. Please note that you cannot opt out of essential transactional communications related to your active enrollment or account status while your account remains active.
9. How We Share Your Information
We do not sell your personal information. We may share your information only under the following limited circumstances:
- With the third-party service providers described in Section 6, solely to operate and support the Services.
- With RBA’s Leadership Team, instructors, and designated moderators, solely as necessary to administer courses, moderate community spaces, and provide pastoral or academic support.
- With other Users, to the extent you choose to make information visible on your community profile, in discussion spaces, or on the leaderboard — you control what is displayed on your public profile.
- When required by law, subpoena, court order, or other legal process, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of RBA, its Users, or the public.
- In connection with a merger, reorganization, or transfer of ministry operations, subject to reasonable confidentiality safeguards.
- With your explicit consent, for any other purpose not described in this Policy.
10. Data Retention
We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Policy, including maintaining your enrollment and academic records, complying with legal and tax obligations, resolving disputes, and enforcing our agreements. Academic records and course completion history may be retained indefinitely as part of RBA’s permanent academic record-keeping, consistent with standard practice for educational institutions.
If you close your account or request deletion of your personal information pursuant to Section 12, we will delete or de-identify your information within a reasonable period, except where retention is required by law, necessary to complete a transaction, or necessary to resolve disputes, enforce our agreements, or maintain accurate academic and financial records.
11. Data Security
We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, use, alteration, or disclosure. These measures include encrypted data transmission (HTTPS/TLS), access controls limiting internal access to personal information on a need-to-know basis, secure hosting infrastructure, and regular monitoring for suspicious activity.
Despite these safeguards, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for notifying us promptly if you suspect unauthorized access to your account.
12. Your Privacy Rights
12.1 General Rights
Depending on your location, you may have certain rights regarding your personal information, which may include the right to:
- Access and obtain a copy of the personal information we hold about you.
- Correct inaccurate or incomplete personal information.
- Request deletion of your personal information, subject to the exceptions described in Section 10.
- Object to or restrict certain processing of your personal information.
- Withdraw consent for processing that is based on consent, without affecting the lawfulness of processing conducted prior to withdrawal.
- Opt out of promotional communications, as described in Section 8.
To exercise any of these rights, please contact us using the information in Section 17. We will respond to verified requests within the timeframe required by applicable law.
12.2 Notice to European Economic Area, United Kingdom, and Swiss Users (GDPR)
If you are located in the European Economic Area, the United Kingdom, or Switzerland, we process your personal information on the following legal bases: performance of a contract (such as enrolling you in a course), your consent (such as subscribing to promotional emails), our legitimate interests (such as securing the Services and improving course delivery), and compliance with legal obligations. You have the right to lodge a complaint with your local data protection supervisory authority if you believe our processing of your information violates applicable law.
12.3 Notice to California Residents (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, grants you the right to know what personal information we collect, use, and disclose; the right to request deletion of your personal information; the right to correct inaccurate personal information; and the right to non-discrimination for exercising your privacy rights. RBA does not sell or share personal information for cross-context behavioral advertising, as those terms are defined under California law.
13. International Data Transfers
RBA is based in the United States, and the Services are hosted on infrastructure located in the United States. If you access the Services from outside the United States, your information will be transferred to, stored, and processed in the United States, where privacy laws may differ from those of your home jurisdiction. By using the Services, you consent to this transfer, storage, and processing.
14. Children’s Privacy
As stated in Section 2, the Services are restricted to individuals 18 years of age and older, and are not directed to children. We do not knowingly collect personal information from anyone under the age of 18. This Policy does not address, and RBA does not undertake, any special data handling obligations applicable specifically to minors, because the Services are not intended for use by minors under any circumstance.
15. Third-Party Links
The Services may contain links to third-party websites, resources, or ministries not owned or controlled by RBA, including denominational resources, guest ministry websites, or citation sources referenced in course materials. This Policy does not apply to those third-party sites, and we are not responsible for the privacy practices or content of any third-party website. We encourage you to review the privacy policy of any third-party site you visit.
16. Changes to This Policy
We may update this Policy from time to time to reflect changes in our practices, the Services, or applicable law. When we make material changes, we will update the “Last Updated” date at the top of this Policy and, where appropriate, provide additional notice, such as an email notification or a prominent notice on the Services. Your continued use of the Services after any changes take effect constitutes your acceptance of the revised Policy.
